Staff Assistant - Residence Life and Housing

Job Description

Staff Assistants are responsible for general clerical duties in the Department of Residence Life and Housing
central office. Staff Assistants are responsible for management of office functions including typing, proofreading,
developing flyers and program materials, creating and working with databases, answering the phone,
conducting outreach, filing, providing information to pilipiliÎÛÂþ and non-pilipiliÎÛÂþ constituents about Residence Life and
Housing programs, and other duties as assigned. Work as a Staff Assistant involves significant work with
confidential student and department information. Staff Assistants will work to support the professional staff
within the DRLH central office and in the Residence Halls.

Position Responsibilities

  1. Arrive back early to campus from both summer and winter break for training.
  2. Greet everyone who enters office with a smile, positive attitude, attentiveness, good
    posture, professionalism, and respect.
  3. Answering emails, phones and assisting students and parents with residence life and housing
    questions or related issues while ensuring confidentiality.
  4. Knowing when it is appropriate to bump an inquiry up to a professional staff member.
  5. Transfer calls according to guidelines and procedures outlined by the supervisor and the Staff Assistant
    Manual.
  6. Sending phone messages via email to all recipients (emails for Directors/CDs are on the resource webpage).
  7. Assisting students with various questions (changing meal plans, placing maintenance orders, placing
    laundry issues etc.)
  8. Schedule, change, or cancel appointments on Outlook Calendar for Central Office Staff
  9. Issuing Temp Room Keys when a student has lost/misplaced. Explaining procedures for lock changes
    properly.
  10. Using the THD system (The Housing Director) when issuing a borrowed or new key and checking students
    into housing.
  11. Staff each move-in process
  12. Become knowledgeable about Housing Self-Service and its forms in order to educate students.
  13. Deliver and retrieve paper correspondence when necessary from various places on
    campus/rotation with everyone
  14. Assist individuals from the front desk and direct them to other offices on campus where they may
    need to go.
  15. Assist duplicating and faxing projects using the copy machine
  16. Assist with bulk mailings (stuffing, labels, collating, folding, etc.)
  17. Assist with filing, alphabetizing, and organizing as needed
  18. Keep confidential all information discussed in meetings, memos, or overheard from any of the staff
    offices unless directed to share the information by your supervisor.
  19. Notify your supervisor of any hours or shifts picked up, as well as any changes in your class schedule
    that may affect your availability.
  20. Uphold and enforce university policies and procedures by reporting any inappropriate behaviors or activity to your supervisor or an available professional staff member.
  21. Attend all required staff training and meetings.
  22. Maintain professionalism and respect for all students, staff, and supervisors by not participating in
    negative or demeaning dialogue.
  23. Other duties as assigned.

COVID-19 Informed Guidelines & Responsibilities

  1. Uphold all testing and masking guidelines as mandated by the university.
  2. Wash your hands with soap and water or use hand sanitizer when handling equipment.
  3. Utilize the materials located at the Sanitizing Station to ensure the equipment and desk areas are
    sanitized. This includes, but is not limited to, the desks, chair arms, phones, keyboards and mice,
    drawer handles, and copy machine.
  4. Ensure that all individuals who enter the office are properly wearing their masks (when applicable).

  8. Working knowledge of Microsoft Office applications (Word, Excel, PowerPoint)
  9. Working knowledge of Google Drive and other Google Apps
  10. Must be able and feel comfortable to perform the essential functions of the job
  11. Knowledge of Residence Life and Housing and other campus offices and resources

  1. To use all pilipiliÎÛÂþ property and resources (e.g., supplies, computers, telephones, copy
    machines, etc.) only for authorized business purposes. Personal use of such property
    and resources is prohibited.
  2. To be on time for your scheduled work hours and to follow your work schedule.
  3. To notify your supervisor as soon as possible if illness or other circumstances prevent
    you from working during your scheduled work hours.
  4. Working during your scheduled class time is prohibited.
  5. To accurately complete your timesheets/E-Time input. Reporting false work hours will result in immediate termination of your employment.
  6. To report to work in attire that is neat, clean, and appropriate for the particular job that you
    hold. You should consult with your supervisor if you have any questions about appropriate
    work attire.
  7. In accordance with pilipiliÎÛÂþ’s Alcohol and Drug-Free School and Workplace Policy, to refrain
    from working while under the influence of illegal drugs or alcohol.

Supervision Jeremy Hynson, Assistant Director of Housing Operations, is the primary supervisor for the Staff Assistant staff
with supervisory support from the Administrative Assistant for the Department of Residence Life and Housing.
Additional supervision, direction, and evaluation may be provided by the Director or any other Residence Life
and Housing professional staff member.
